  • Usage Data: We collect data about how you interact with our platform, including IP addresses, browser type, device information, pages visited, and timestamps.
  • Files Uploaded: For the file hosting service, you may upload files (e.g., PPT, PDF, CSV, up to 50 MB per file), which we store to generate and maintain your DOI.
  • Communication Data: If you contact us (e.g., via support@resbic.com), we collect the content of your messages, including any attachments or personal details you provide.

3. How We Use Your Information

We use your information for the following purposes:

  • To Provide Services: We use your personal information and metadata to generate DOIs, register them with Crossref, and provide preformatted citations in styles like Chicago, APA, MLA, ACM, ACS, ABNT, Harvard, IEEE, Turabian, Vancouver, Endnote/Zotero/Mendeley (RIS) and BibTeX.
  • To Host Files: For the file hosting service, we store your uploaded files on secure servers for 5 years (with optional renewal) to ensure accessibility via the DOI.
  • URL Monitoring Service: If you opt for the URL monitoring service, we use your email to notify you if your URL is down, ensuring your DOI remains functional.
  • Payment Processing: We use your payment information to process transactions for our services (e.g., $10 for URL redirect, $30 per file for hosting, $5 for URL monitoring).
  • Communication: We may use your email to send you service-related updates, such as DOI registration confirmations, invoices, or URL monitoring notifications.
  • Analytics and Improvement: We use usage data to analyze platform performance, improve user experience, and troubleshoot issues.
  • Legal Compliance: We may use your information to comply with legal obligations, such as tax reporting or responding to lawful requests from authorities.

4. How We Share Your Information

We prioritize your privacy and only share your information in the following circumstances:

  • With Crossref: To register your DOI, we share metadata (e.g., title, author, URL) with Crossref, as required by their policies. This data is publicly available to enable citation and discovery.
  • Service Providers: We may share your payment information with trusted third-party payment processors (e.g., PayPal, credit card companies) to process transactions securely. These providers are contractually obligated to protect your data.
  • Legal Requirements: We may disclose your information if required by law, such as in response to a court order, subpoena, or other legal process, or to protect our rights, property, or safety.
  • No Third-Party Sharing for Marketing: We do not sell, rent, or share your personal information with third parties for marketing purposes.

5. Data Storage and Security

  • Storage: Your personal data and uploaded files are stored on secure servers with encryption and regular backups. We retain personal data for as long as your account is active or as needed to provide services. Uploaded files are hosted for 5 years (with optional renewal); if not renewed, files are archived, but metadata remains accessible via the DOI.
  • Security Measures: We implement industry-standard security measures, including encryption, access controls, and firewalls, to protect your data from unauthorized access, loss, or misuse. However, no system is completely secure, and we cannot guarantee absolute security.
  • Data Retention: We retain metadata indefinitely to comply with Crossref requirements for DOI persistence. Personal data (e.g., email, payment information) is deleted within 30 days of account termination, unless required for legal compliance (e.g., tax records).

6. Your Rights

As a user, you have the following rights regarding your personal data, subject to applicable laws:

  • Access: You can request a copy of the personal data we hold about you by contacting support@resbic.com.
  • Correction: You can update or correct your personal data (e.g., email) through your user dashboard or by contacting us.
  • Deletion: You can request the deletion of your personal data, though we may retain certain information (e.g., metadata, transaction records) to comply with Crossref policies or legal obligations.
  • Objection and Restriction: You can object to or request restrictions on the processing of your data (e.g., opting out of URL monitoring notifications).
  • Data Portability: You can request a copy of your data in a structured, machine-readable format.
  • Withdraw Consent: If we process your data based on consent (e.g., email notifications), you can withdraw consent at any time by emailing support@resbic.com. This does not affect the lawfulness of prior processing.
